1) Who we are and scope of this Policy
Air Alliance Houston (“AAH,” “we,” “us”) is a Texas nonprofit organization. This Privacy Policy (“Policy”) explains how we handle personal information when you use airalliancehouston.org (“Site”), AAH-managed pages we link to for specific actions (for example: subscribing to updates, donating, RSVPing to events, joining our media list, contacting us, or participating in SMS text messaging) (“AAH Pages”) and when you otherwise interact with us online or offline.
This Policy does not cover third‑party or other organizations’ websites, platforms, or services we do not control—even if we link to them (including hosted donation and RSVP pages, raffle pages, mapping tools, and social media). Those providers have their own privacy notices and terms, which we encourage you to review on the pages where information is collected.
2) The information we collect
We collect information you voluntarily provide to us and limited information generated automatically when you interact with our site and programs. For purposes of this Policy, “personal information” means information that identifies, relates to, describes, or is reasonably linkable to a particular individual, including associated preferences and inferences when linked to your contact information.
Information you provide
- Contact information: name (first and last), email address, ZIP/postal code, and (if you provide them) phone number or mailing address.
- Subscription information: your subscription preferences for our newsletters or other updates (for example, topics you select, the channels you choose—email and/or SMS—and frequency choices). These preferences are linked to your Contact Information and therefore constitute personal information.
- Professional information (media and similar inquiries): name, organization/ affiliation, role/title, email, phone, and the content of your inquiry.
- Engagement & donation preference information: choices you make about how you support or engage with AAH (for example, whether you prefer recurring vs. one time donations, a fund/designation you select if offered, tribute/honor fields you complete, attendance/RSVP preferences, or communication channel preferences). We treat these as personal information when they are linked to your Contact Information. Payment card information is entered on our payment processor’s hosted pages; AAH does not receive full card details.
- Text messaging (SMS) program information: mobile phone number; opt in and opt out records (including timestamp, source, and consent language); your replies (e.g., STOP/HELP); and messaging platform metadata (such as delivery status). We collect this when you opt in to receive texts from AAH
Information collected automatically
- Device and usage information generated by your browser and device when you access our pages (e.g., IP address, browser type, referring/exit pages, timestamps). Where we embed or link to third‑party forms or services, those providers may use their own cookies or similar technologies under their policies.
3) How we use information
We use the information described above to:
- Provide the content and services you request (e.g., newsletters, donation acknowledgments, event registrations, media responses).
- Send SMS communications you’ve opted into, including program updates, advocacy alerts, event reminders, fundraising opportunities, and other AAH communications consistent with your subscription settings. You can opt out at any time by replying STOP. –
- Communicate with you about our programs, events, opportunities to participate, and ways to support our mission (by email, SMS where permitted/consented, or phone).
- Operate, secure, analyze, and improve our Site and programs (including troubleshooting, analytics, and protecting against fraud or abuse).
- Comply with legal obligations and enforce our terms.
4) When we share information
We share information with service providers that help us operate our Site, AAH Pages and programs—for example, email distribution, donation processing, event/RSVP tools, form hosting, customer support, website hosting, analytics, and our SMS delivery. These providers are authorized to use personal information only as needed to provide services to AAH under our instructions and contracts and not for their own purposes.
We may also disclose information if required by law, to protect our rights or the rights of others, or with your consent or at your direction.
We do not share your personal information for any purposes other than those contained in this Policy. We never sell your personal information for any reason.
5) SMS text messaging
If you opt in to receive SMS from us, you authorize AAH to send text messages to the mobile number you provide.
- Program description & frequency: messages may include alerts, event reminders, organizational updates, fundraising outreach, and marketing communications. Unless otherwise stated at opt‑in, we send a maximum of four messages per month.
- Opt out: reply STOP to any message to cancel; you may receive a one‑time confirmation text. For help, reply HELP or contact us using the details in Section 13.
- Rates: Message & data rates may apply from your mobile carrier.
- Consent standard: Where required by law (including the Telephone Consumer Protection Act and FCC rules), we obtain appropriate consent before sending SMS. For marketing or promotional texts, we obtain prior express written consent (which may be provided electronically). For informational or transactional texts related to a request you made (for example, an event reminder to a number you provided for that purpose), we rely on prior express consent. Your consent to receive SMS is not a condition of any purchase or donation.
6) Children’s information
Our site and programs are directed to a general audience and are not intended for individuals under 17. If we learn that we have collected personal information from a minor under 17 without verifiable parental consent, we will delete it consistent with the Children’s Online Privacy Protection Act (COPPA).
7) Your choices and rights
- Email: unsubscribe from newsletters and other email communications at any time using the link in the message or by contacting us.
- SMS: reply STOP to any text to opt out at any time; reply HELP for help; or contact us using the details in Section 13.
- Donations/receipts and preferences: contact us to update your contact details and communication preferences related to donations.
- Third‑party forms and services: to exercise choices offered by our donation, RSVP, or other hosted providers, please refer to the privacy notices presented on the pages where the information is collected.
9) Data retention and security
We retain personal information for as long as needed for the purpose for which it was collected (e.g., to send you the newsletter you requested, acknowledge donations, manage events), as required by law and to meet accounting or other reporting requirements. We take reasonable administrative, technical, and physical safeguards designed to protect personal information.
For payments, our donation processor handles card data on its own hosted pages. For SMS, we retain consent and opt‑out logs for as long as needed to demonstrate compliance with applicable law and carrier rules, then securely delete or de‑identify them.
10) Third‑party websites and tools
Our Site includes links to or embeds of third‑party and other organizations’ websites and tools we do not control (for example, hosted donation and RSVP forms, raffle or ticketing pages, maps, and social platforms). Your use of those services is governed by their own privacy policies and terms. We encourage you to review the privacy information provided on those pages before submitting any personal information.
11) Do‑Not‑Track and global privacy controls
At this time, we do not respond to browser “Do‑Not‑Track” signals. Where you use third‑party forms or platforms reached from our Site, their privacy choices and settings will govern.
12) Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and post the revised Policy on our website. If we make material changes, we will take additional steps as required by law.
